Work at the National Standard
How will you ensure that assessment tasks are written at the National Standard? Whose responsibility is this?

Hof’s have the responsibility to ensure that all assessment tasks are written at the National Standard. External moderation will provide feedback on standards.


Authenticity
How will you ensure that student work is their own? Whose responsibility is it to make sure that authenticity issues are addressed?


All Faculties will provide a standard cover sheet which the student must sign and hand in with each out of class assignment. In signing this sheet the student is declaring that the work contained in the assignment is his own work and that anyone else’s work used in the course of the assignment has been properly sourced and referenced. Plagiarism will be treated as seriously as cheating in an exam and will be dealt with accordingly.


Late Work & Missed Assessment
What will happen when work is not completed on the due date? How will you determine if excuses are legitimate? Who will decide on extensions?

All students are expected to complete all assessment work and hand it in to the school office before 9.00am on the due date unless he has a legitimate reason. Art students may be required to hand their work in directly to the Art office. Legitimate reasons include a family bereavement, representing the College at a major sports or cultural event, or illness. A student must produce a medical certificate if because of illness, he is absent for an assessment, or is absent on the date an assessment is due and consequently fails to hand it in on time.In all cases of legitimate absence a student may be awarded an achievement standard provided there is sufficient evidence* to indicate that the student would have gained this standard. Such evidence includes, but is not restricted to, class test marks, formative assessments, & results from practicals. Where there is insufficient evidence the student will be given one opportunity to be reassessed in the standard missed.

 

Note:
The concept of sufficient evidence means that the student has had the opportunity to accumulate such evidence. Therefore a student who has been in class prior to assessment but has completed no work and was then away for the assessment would receive not achieved.

Any student who was absent for the assessment, or did not hand in an assessment on time, without a legitimate reason would receive a not achieved and would NOT have the opportunity to be reassessed in the standard missed.

Any student absent from school on a deadline day must make every effort to get the work into the school office by 9.00am. This may mean asking family or friends to bring the work in. Alternatively it can be faxed or couriered. If this is not possible then the student’s teacher must be notified by phone, fax or email. Without this communication to the teacher the work will not be marked.

Teacher Notes: Medical certificate is to be filed by Doc along with appropriate action/decisions.

Assessments take priority over extra curricular activities. Reassessments are not to be viewed as a ‘solution’. Alternative arrangements are to be made with Hof & Doc if warranted.


Internal Moderation
How will we make sure that teachers doing the same standard assess the same? Whose responsibility is it to make sure that moderation issues are addressed?


Systems moderation: internal checklist/audit by Doc.
Assessment moderation: Hof’s responsibility.
Usually staff discussion, assessment trials, etc.
Both are to be minuted/recorded and filed.


Reassessment

When will reassessment opportunities be given? Who will decide on this?

A student who has sat an internal assessment and received a not achieved would, where practicable and at the discretion of the Hof, be given opportunities to be reassessed. Course outline information issued by each department is to clearly state how further assessment opportunities are manged.

Note: In circumstances where reassessment is not practicable, this will be communicated to students in writing prior to the assessment date. If this does not happen the original assessment will be null and void and will be repeated. Faculty course requirements can include a ‘minimum standard of work required to be eligible for reassessment’.


Appeals

Who will be in the appeal chain? What records will be required? How will you inform students of the appeal procedure?

Any student is entitled to appeal any grade allocated to any assessment if he feels it has been marked incorrectly and/or unfairly. He may also appeal any decision made with regard to any other NCEA assessment policy.

The appeal in the first instance must be made to the students’ classroom teacher within two school days of receiving the assessed script. If however the student feels that the outcome of the appeal is unjust, he may then take it to the Head of the Faculty concerned. If he is still unsatisfied with the outcome he can appeal to the Director of Curriculum and if he is still unsatisfied he can appeal to the principal. Note that the Dean is not part of the appeal process. Students are able to approach NZQA if they are not happy with the school’s decision.

Note: when advised of an appeal the teacher/Hof should take possession of the script to ensure security & originality.


Recording of Results
Where will results be recorded? Who will be responsible for this? What checks will occur? What back-ups will be in place?

Results are recorded as follows:
Class teacher’s mark book.
Faculty database. If electronic there should be a hardcopy on file.
Central school database on Integris.

It is the Hof’s responsibility to ensure that all records are current and correct. The administration of the school’s central database is the Doc’s responsibility. Internal systems moderation will check systems. Integris is backed up regularly as part of the server’s back up routine.


Information to Students
What information needs to be given to students? How will this be given?

Information will be given to students via the school’s NCEA handbooks and via the course outline information given to students at the beginning of the course. Both will contain the policies on appeals, authenticity, missed assessment, reassessment. The course outline will also include:
  - Standards being taught /assessed and whether internally or externally assessed
  - Dates of assessments and reassessments
  - Credit value

Timing of Assessments

How will we make sure that assessments do not clash? Who will manage this?

All internal assessments, where they occur outside the school’s scheduled exams, are to be written into the school’s central diary by the Hof, at least one term in advance, and thus will appear on the school calendar. At the time of scheduling it is the Hof’s responsibility to ensure there isn’t a clash.


Misconduct

What will happen to students who are caught cheating? Who will be responsible for this?

Students caught cheating will receive a not achieved or 0%. The incident is to be documented and a copy given to Doc by the Hof. The student is not eligible for the scheduled reassessment.

How will assessment tasks be kept secure before use? Who will be responsible for this?
The Hof is responsible for the security of assessment tasks and assessed work. A locked filing cabinet or cupboard would be appropriate.


Entries
Who is responsible for entries and relevant dates?


The school’s NZQA liaison officer (in conjunction with Doc) is responsible for ensuring that the correct entries are made and that the appropriate dates are adhered to. All relevant dates and requirements are to be written into the school’s central diary and will thus appear on the school’s calendar. These should also be given to the Hofs and Doc directly by way of a memo.


Accuracy of Results

Prior to the sending off of results to NZQA, and after all internal assessments have been completed, the NZQA liaison officer will issue each student with a copy of their record of results held by the school. The student is to check, correct, sign and return. Corrections to the master file will then be made by the NZQA liaison officer.


Special Assessment

The school identifies students requiring special assessment conditions by various means including information at time of enrolment, literacy centre, teachers, and pastoral care committee. The Guidance Counsellor is responsible for applications to NZQA to ensure that these students have valid and fair assessment conditions consistent with the assistance they would normally have as part of their learning process.


Internal Review

An internal review will take place each year to ensure that departments are consistently implementing the school policies. This will be carried out by the Doc and/or members of the leadership team and will normally be held in Term 2.


Policy Review

These policies will be reviewed annually by the Hof’s as part of the regular cycle of Hof’s meetings.
